Oka Kyo Regulation No. 33

 

 

(General)

Section 1

This Regulation stipulates requirements for the management of the National Institutes of Natural Sciences Okazaki Conference Center (hereinafter called "Center") established based on the provisions of Paragraph 4, Section 50 of the General Operating Rules (Rule No. 1 of 2004, hereinafter called "General Rules") of the National Institutes of Natural Sciences, Joint Utilization Institute of Universities.

(Objective)

Section 2

The objective of the Center is to promote research and education in Okazaki Research Facilities by providing international and domestic academic exchanges as well as collaboration with the community.

(Facilities)

Section 3

The Center has the following facilities:

 

1. Main conference hall

 

2. Mid-sized conference room

 

3. Small conference room 1 and small conference room 2

 

4. Guest room and shared facilities

(Scope of use)

Section 4

The Center can be used for the following purposes:

 

1. Symposiums and research meetings for academic research

 

2. Lecture meetings and seminars for education

 

3. Meetings, events, etc. hosted or co-hosted by Okazaki Research Institutes

In addition to the preceding, the Center can be used when judged as proper by the Director of the Center.

(Steering Committee)

Section 5

In order to deliberate requirements related to the management of the Center, the Steering Committee of the National Institutes of Natural Sciences Okazaki Conference Center (hereinafter called "Steering Committee") shall be established.

The Steering Committee consists of the following members:

 

1. Director of the Center

 

2. One professor of each research institute in the Okazaki Research Facilities

 

3. International Research Cooperation Section Manager

The committee members listed in Paragraph 2 above shall be appointed by the chief of each research institute.

4.

The term of committee members shall be 2 years, and reappointment is permitted. The term of a substitute member shall be the remaining term of the predecessor.

5.

The Steering Committee shall be headed by a chairman, who shall be the Director of the Center.

6.

The chairman shall convene meetings of the Steering Committee and shall chair the meetings.

7.

If the chairman is unable to attend, a committee member designated in advance by the chairman shall act on behalf of the chairman.

(Clerical work)

Section 6

Clerical work of the Center shall be done by the International Research Cooperation Section, General Affairs Department of the Okazaki Integrated Business Center.

(Miscellaneous rules)

Section 7

In addition to the provisions stipulated in this Regulation, necessary items related to the Center shall be separately specified by the Director of the Center through meetings of the Steering Committee.

 

 

 

Supplementary rule
This Regulation shall take effect on April 1, 2004.

 

 

Regulation for Using the National Institutes of Natural Sciences Okazaki Conference Center

(General)

Section 1

This Regulation stipulates requirements for using the National Institutes of Natural Sciences Okazaki Conference Center (hereinafter called "Center") on the basis of the provisions of Section 7 of the Regulation of National Institutes of Natural Sciences Okazaki Conference Center (Oka Kyo Regulation No. 33 of 2004, hereinafter called "Center Regulation").

(Users)

Section 2

The following persons are permitted to use the Center:

 

1. Staff of Okazaki Research Institutes

 

2. Participants when used for the purposes described in the paragraphs of Subsection 1, Section 4 of the Center Regulation

 

3. Persons judged as proper by the Director of the Center

(Usable days)

Section 3

The Center can be used on any days other than the following:

 

1. Sundays and Saturdays

 

2. Holidays specified in the law (Law No. 178 of 1948) related to national holidays

 

3. Days from December 29 to January 3

 

4. Days specified by the Director of the Center

(Usable hours)

Section 4

The Center can be used between the hours of 8:30 a.m. to 5:30 p.m. These hours can be changed if considered necessary by the Director of the Center.

(Exception for usable days and hours)

Section 5

Despite the provisions of the preceding two sections, the Center can be used on the days specified in Paragraphs 1 and 2 of Section 3 or in hours other than the usable hours described in the preceding Section if relevant to one of the following paragraphs:

 

1. When hosted or co-hosted by Okazaki Research Institutes or each research institute

 

2. When any staff member of Okazaki Research Institutes takes responsibility for usage

 

3. When judged as proper by the Director of the Center

(Application for usage permission)

Section 6

Those wishing to use any of the facilities of the Center must submit an application for usage permission (Form 1) in advance and obtain permission from the Director of the Center.

The application for using the Center shall be accepted after the prescribed day in accordance with the following classification:

 

1. When hosted or co-hosted by Okazaki Research Institutes or each research institute (as occasion arises)

 

2. Other than stipulated in the preceding paragraph (day 6 months before the intended day of use)

3.

In principle, the application for usage permission must be submitted by at least 2 weeks before the day of use.

(Usage permission)

Section 7

When the application for usage permission in the preceding Section is submitted, the Director of the Center shall grant permission if the use is judged as proper.

When the use is permitted, the Director of the Center shall issue a usage permit (Form 2) to the applicant.

(Usage rate)

Section 8

The person who received the usage permit in accordance with the preceding Section, must pay in advance the usage rate separately specified in principle, except in the following cases:

 

1. When hosted or co-hosted by Okazaki Research Institutes or each research institute

 

2. When recognized as conforming to the preceding paragraph by the Director of the Center

Fees paid in advance shall not be returned except in cases of Force Majeure or cases which are not the responsibility of the user and when the use of the Center is cancelled in accordance with the provisions of Subsection 2 of Section 11.

(User's duty of care)

Section 9

The user must observe this Regulation, follow the rules of the Center, properly use the facilities, equipment, and furnishings (hereinafter called "Facilities, etc."), and endeavor to keep them in good condition.

(Prohibition of use, etc. for other than the specified purpose)

Section 10

The user must not use the Center for any purpose other than as permitted, nor allow a third party to use it.

(Cancellation of usage permission)

Section 11

The Director of the Center can cancel the usage permission or stop the use if the user violates the Center Regulation or this Regulation.

2. In addition to the preceding paragraph, the Director of the Center can change or cancel the usage permission in the event of a special reason in Okazaki Research Institutes or if it is necessary to do so for the management of the Center.

(Obligation to restore to original state)

Section 12

After usage or when the usage permission is cancelled/changed in accordance with the provisions of the preceding Section, the user must immediately restore the Center to its original state.

(Compensation for damage)

Section 13

If the user contaminates, damages or loses any Facilities, etc. of the Center attributable to its responsibility, the user must compensate for the damage.

(Miscellaneous rules)

Section 14

In addition to the provisions of this Regulation, any necessary items related to the use of the Center will be separately specified by the Director of the Center.

 

 

 

Supplementary rule
This Regulation shall take effect on April 1, 2004.
